Our General Data Protection Regulation (GDPR): Burton Beavan’s Policy and commitment to you

Background

This statement provides clients and users of our website with an explanation as to how any personal information that we collect about you is used.

Here at Burton Beavan we are mindful of the absolute necessity to ensure that your data is collected and utilised solely for bona fide and appropriate purposes. We will ensure that information is safeguarded by ensuring that technical and organisational measures are in place and consistently applied.

Our practices will only use personal data as part of the services that we have agreed to undertake on your behalf in accordance with the Engagement Letter and the Schedules that support it. Use of this information is strictly limited to comply with your own instructions and GDPR.

Anti Money Laundering

Sensitive personal data obtained from you that enables us to carry out assurance checks designed to identify and prevent money laundering and terrorist financing will be used solely for that purpose and with your clear consent, or otherwise in accordance with statutory obligation.

Personal information we collect about you

Burton Beavan will act in accordance with General Data Protection Regulation. As accountants acting on your behalf we may, of necessity, seek personal information about you, Family members, associates and persons employed by you. Such relevance to these requests and the processing of the details supplied will be self evident from the terms agreed between us in the Letter of Engagement.

Whilst not exhaustive this data may have relevance to:-

  • Completion and submission of Tax Returns
  • Payroll Services
  • Bookkeeping
  • Employer Benefits Returns
  • Preparation of Accounts
  • Maintaining our client record systems
  • Anti Money Laundering purposes as set out above.

Retention of your personal information

In the majority of cases records are kept in accordance with the regulation requirement of seven years from the date of the closure of your account with us unless:-

  • a longer period is requested by you
  • longer retention is deemed necessary for legal reasons
  • there are unresolved litigation issues

Sharing Personal Data

Unless expressly provided for in the terms of the Letter of Engagement and in accordance with the use specifically detailed above, Burton Beavan will not now, or at any time in the future, disseminate any personal data under its control to any third party whatsoever.

Client personal data may be transferred to appropriate parties under the terms of the Engagement letter as set out above for the following purposes;-

  • Compliance with HMRC requirements in respect of:-
    • Filing Tax Returns
    • Operation of PAYE under the terms of Real Time Reporting
    • Making Construction Industry Returns
    • Filing VAT Returns
  • Your Payroll service provider where it is not Burton Beavan
  • Requests for financial references (Mortgage companies and the like) solely and explicitly with client consent
  • To and from client IT systems for the purpose of fulfilling the services we have undertaken to provide
  • Companies House information and the provision of statutory reports
  • Another accountancy firm in appropriate circumstances in cases where written client authority has been obtained.

NB: Burton Beavan does not obtain or process any personal information from its website or any social networking sites.

Personal information is used, on occasion, to make clients aware of matters that may be of interest and pertinent to services included in the Letter of Engagement. Invitations to attend presentations and training events organised by Burton Beavan together with information on investigation insurance cover typically, but not exclusively, illustrates the purpose for such canvassing.
